Privacy Policy

Worklens helps crews capture what matters before and after critical work. This policy explains how we collect, use, protect, and share information when you use the Worklens web and mobile apps.

Last updated: July 10, 2026

1. Introduction

Welcome to Worklens. Your privacy is important to us, and we are committed to protecting the personal information you share with us.

This privacy policy applies to Worklens, a mobile-first pre-job and post-job briefing tool designed to help organizations improve operational learning, reduce exposure to critical risk, and support safer work.

2. Information We Collect

We collect information needed to operate Worklens and make brief records useful to your organization.

Account information may include your name, email address, role, organization, profile image, password credentials, and mobile push notification tokens.

Brief information may include assigned jobs, job site, pre-job responses, post-job responses, safety observations, concerns, lessons learned, timestamps, and completion status.

Technical and usage information may include device type, operating system, IP address, app version, authentication activity, push notification registration, and basic usage metadata.

3. How We Use Information

We use collected information to provide and secure Worklens, authenticate crew users, assign briefs, capture responses, and make completed Worklens records available to authorized organization users.

We may use brief and response data to help organizations identify recurring risks, weak signals, work conditions, and improvement opportunities.

We also use technical and usage data to maintain the app, diagnose issues, improve performance, support notifications, and protect against unauthorized access.

4. Sharing and Disclosure

We do not sell or trade your personal information.

Information may be shared with your employer or organization where your account was created, including your profile details, assigned briefs, submitted responses, and completion history.

We may share limited information with trusted service providers who help us provide hosting, storage, analytics, email, payments, notifications, security, and support. These providers may only use information as needed to perform services for us.

We may disclose information where required by law, regulation, legal process, or to protect the rights, safety, and security of Worklens, Learning Teams, our users, or others.

5. Data Retention and Deletion

We retain personal information and Worklens records for as long as needed to provide Worklens, support your organization, meet legal obligations, resolve disputes, and maintain operational records.

You or your organization may request deletion or anonymization where applicable. Some information may need to be retained where required by law, contract, audit obligations, or legitimate business needs.

Users may delete their Worklens account using the account deletion option within the app, or request deletion by contacting [email protected] or their organization administrator. After verifying the request where needed, we will delete or anonymize account information where applicable and deactivate access, subject to records we must retain for legal, contractual, audit, security, or legitimate business reasons.

Aggregated or anonymized information that no longer identifies you may be retained to improve Worklens and support safety learning.

6. Data Security

We use administrative, technical, and organizational safeguards designed to protect your information, including access controls, secure authentication, encrypted transport, and protected infrastructure.

No system can be guaranteed to be completely secure. You should protect access to your device, keep your password confidential, and notify your organization or us if you suspect unauthorized access.

7. Your Choices and Rights

Depending on your location, you may have rights to access, correct, delete, restrict, or receive a copy of your personal data.

You can update certain profile information in the mobile app, including your full name, password, and profile image. Email, role, and organization details are controlled by your organization or account administrator.

To exercise privacy rights or ask questions about your data, contact us using the details below. We may need to verify your identity and may coordinate with your organization where they control the relevant account or Worklens records.

8. Children's Privacy

Worklens is not intended for users under 18. We do not knowingly collect personal information from children under 18. If we learn that we have collected such information, we will take appropriate steps to delete it.

9. International Users and Data Transfers

If you access Worklens from outside the country where our systems or service providers operate, your information may be transferred, stored, and processed in another country.

Where required, we use appropriate safeguards for international data transfers and process information in line with applicable privacy and data protection laws.

10. Changes to This Policy

We may update this privacy policy from time to time to reflect changes in Worklens, our practices, or legal requirements.

If we make material changes, we will take reasonable steps to notify users or organizations, such as through email, in-app notice, or an updated policy page. Continued use of Worklens after an update means the updated policy applies.
